Swift Skills (V&I Swift Skill Institute Pty Ltd, RTO 46501) is committed to protecting the privacy of all individuals whose personal information we collect, use, store and disclose. 2. What Personal Information We Collect

We collect personal information necessary for delivering vocational education and training (VET) services. This includes:

  • Full name, date of birth, gender
  • Contact details (address, phone, email)
  • Unique Student Identifier (USI)
  • Enrolment and training records (units attempted, completed, assessments)
  • Prior qualifications and recognition of prior learning (RPL) evidence
  • Language, literacy and numeracy (LLN) assessment results
  • Employment status and employer details (where applicable)
  • Government funding eligibility information (e.g. concession card, residency status)
  • Payment and fee information
  • Disability, health or support needs (provided voluntarily)
  • Feedback, survey responses and complaints
  • 3. How We Collect Personal Information

    We collect personal information directly from you through enrolment forms, online enquiry forms, interviews, assessments, and communication with our staff. We may also receive information from third parties such as your employer (if they sponsor your training), government funding bodies, or our online learning platform provider.

    4. Why We Collect and Use Personal Information

    We use personal information to:

  • Process enrolments and manage your training
  • Issue AQF qualifications and Statements of Attainment
  • Report to the National Centre for Vocational Education Research (NCVER) as required under the National VET Data Policy
  • Report to state and territory funding authorities (where applicable)
  • Submit data to ASQA for regulatory purposes
  • Maintain the National Register (training.gov.au) records
  • Provide student support services
  • Respond to complaints and appeals
  • Conduct quality assurance and continuous improvement
  • Send course-related communications
  • 5. Unique Student Identifier (USI)

    Under the Student Identifiers Act 2014 (Cth), Swift Skills is required to collect and verify your USI before issuing any AQF certification. We use your USI solely for the purposes authorised under that Act. For information about obtaining a USI, visit our USI page or usi.gov.au.

    6. Disclosure of Personal Information

    We may disclose your personal information to:

  • ASQA โ€” as required for regulatory compliance and audits
  • NCVER โ€” for statistical reporting under the National VET Data Policy
  • State/Territory Training Authorities โ€” where government funding is involved
  • USI Registrar โ€” for USI verification and transcript purposes
  • Third-party training or assessment providers โ€” where we have a written agreement and your training is partly delivered by a partner
  • Your employer โ€” with your consent, if they sponsor your training
  • Our IT and LMS providers โ€” under confidentiality agreements for system operation only
  • We do not disclose personal information for any purpose other than those described above without your consent, unless required by law.

    7. Storage and Security

    Swift Skills takes reasonable steps to protect personal information from misuse, loss, unauthorised access, modification or disclosure. Records are stored securely, with access restricted to authorised staff. Electronic data is protected by password controls and secure hosting. Training records are retained for a minimum of 30 years as required under the Standards for RTOs 2025.

    8. Access and Correction

    You have the right to access your personal information held by Swift Skills and to request correction of any inaccurate or out-of-date information. To make a request, contact us in writing at info@swiftskills.edu.au. We will respond within 30 days. In limited circumstances, we may decline access as permitted by the Privacy Act, and will provide written reasons if so.
